(Fenway Tech. and Paradise Software Research Institute are going to launch a new product cooperatively. They are going to hold a press conference together. The representative from Fenway Tech, Barbara, comes to meet the sales manager of Paradise Software, Colin Mellor, discussing the arrangement of the conference locally. )

Colin: Hi, Barbara, good morning. So nice to see you again!

Barbara: Ah, nice. Good morning Colin, nice to see you again too.

Colin: Do you want coffee or tea ?

Barbara: Em, yeah, coffee, black one, please.

Colin: Sure, help yourself.

Barbara: Thanks, it has been three years since we met last time. How is everything going?

Colin: Not too bad in general. We have developed several new software recently. They are on the trial stage.

Barbara: Oh, really? That’s good news. You must be very busy, I bet.

Colin: Yeah, extremely busy. How about you?

Barbara: Oh, Me too. We always can’t stop working all the time.

Colin: Yeah, shall we get down to business then?

Barbara: Sure, I have listed the items to cover. Shall we go through them one by one?

Colin: Sure, sure. Em… all right. The first item here is the venue. I have a place in mind, the Wayne’s Hotel. What do you think?

Barbara: That’s a quite impressive hotel, does it have a conference hall large enough to hold about 200 people?

Colin: It does. One of them can hold 500 hundred people, the other 250. More importantly, the transportation is very convenient. It’s at the subway station, about 10 minutes drive to railway station and 20 minutes drive to the airport.

Barbara: Yes, that sounds good. Then this is settled, the second item is people to invite.

ColinRight, as a supplier of cell phones, we hope to invite about 100 people, including our agents, customers and end users, the engineers who are going to service the customers. How many are you going to invite?

Barbara: About 120. They include some of our technical staff, our cooperators, and some other customers. Moreover, we are also going to invite some friends from medium.

Colin: Ok. Altogether there would be, say 220 people then. What is the date of the conference?

Barbara: Before I came here, I discussed it with our MD. We think it is better in November 13th, then we still have more than two months to prepare.

Colin: Sure, ok, no problem for us. And for the last item, what preparation should we ask the hotel to provide?

Barbara: They need to prepare the conference hall, two or three microphones, computer, and overhead-projector for us. Do you think some food and beverage are necessary?

Colin: Sure, I think they should prepare some snacks, and coffee and tea.

Barbara: Very good. We have covered all the items so far. Let’s make it clear again. It’s on November 13, at Wayne’s Hotel.

Colin: Yes.

Barbara: 220 people will be invited and the hotel should provide the equipment and some snacks. Is that right?

Colin: That’s right. But Barbara, how about the expenditure of the meeting?

Barbara: Oh, yes, a very important point. Shall I suggest that we are going to share the expenditure half and half?

Colin: I think it’s quite reasonable. In fact, we can both discuss with our boss respectively and before coming to a final decision.

Barbara: Sure, and if there are any changes, I’ll let you know as soon as possible.

Colin: That’s good. I’m expecting your confirmation so that I can contact the Wayne’s hotel. Thanks for coming. Take care and have a nice day.
